Approved contractors are the first people we call when work comes up across our Wellington portfolio. In return, we ask you to meet clear standards, keep your documentation current, and treat our tenants and properties the way we do: professionally and transparently.
Approval is free. There are no membership fees and no lock-in — just a straightforward agreement about how we work together.

What you'll need to become approved
Have these ready before you apply. You'll confirm each one in the application below, then email copies to us — we'll reply to your application with a checklist so nothing gets missed.
Public liability insurance
Current certificate of insurance. We recommend $1M+ cover for residential trade work.
Trade qualifications
Relevant certificates or evidence of trade qualification for the work you'll be doing.
Licences & registrations
Practising licences where required by law — e.g. electrical, gasfitting, plumbing, LBP.
Health & safety policy
Your H&S policy or statement — proportionate to your business size is fine.
NZBN
Your New Zealand Business Number — entered in the application form.
GST number
If registered — entered in the application form so invoicing is set up correctly from day one.
Employee / subcontractor list
Who else may attend our properties under your business, so everyone on site is accounted for.
Bank account verification
A bank-issued deposit slip or statement header so payments go to the right place, first time.
Emergency contact
An after-hours contact for urgent work — entered in the application form.
Insurance expiry date
We track this for you and get in touch before it lapses, so your approved status never expires by accident.
The agreement, in plain English
This is the full Letter of Engagement you'll agree to when you apply. Read each section — it's written to be understood, not to catch anyone out.
01Introduction
This Letter of Engagement sets out the terms on which New Zealand Realty Services Limited ("NZR", "we", "us") engages approved contractors ("you") to carry out maintenance, repair and project work at residential properties we manage on behalf of their owners.
By signing this letter you become part of our Approved Contractor Network. It applies to every work order we issue to you until the engagement is ended by either party under the Termination section below.
02Professional standards
You agree to carry out all work to a professional standard consistent with New Zealand industry practice, applicable building codes and manufacturer specifications, using suitably qualified people and appropriate materials.
You will hold, and keep current, all qualifications, registrations and practising licences required by law for the work you perform, and will tell us promptly if any qualification, licence or insurance lapses, is suspended, or is subject to any disciplinary process.
03Communication
You will acknowledge work orders promptly, confirm scheduling with the tenant directly where we ask you to, and keep us informed of progress — including any delays, access issues, or changes to the scope you discover on site.
If a job turns out to be materially bigger, more expensive or different from the approved scope, you will stop and contact us for approval before proceeding, except where immediate action is needed to make a property safe.
04Invoices
Invoices must be itemised, reference the property address and our work order, and match the approved scope and any approved variations. Where GST-registered, invoices must be valid tax invoices.
We process correctly submitted invoices efficiently following approval of the completed work. Invoices that don't match the approved scope, or that arrive without required documentation, may be returned for correction — we'll always tell you why.
05Quality assurance
You will supply reasonable supporting documentation for completed work — including before-and-after photos where appropriate — so we can report transparently to the property owner.
If completed work is found to be defective or below standard, you will remedy it at your own cost within a reasonable timeframe. Workmanship should be warranted in line with normal industry practice for your trade.
06Health & safety
You will comply with the Health and Safety at Work Act 2015 and all other applicable legislation, and are responsible for the health and safety of your own workers and anyone affected by your work on site.
You will report any notifiable event, hazard or near-miss at a managed property to us as soon as practicable, and will maintain a health and safety policy proportionate to your business.
07Confidentiality
In the course of your work you may receive personal information about tenants and owners — names, contact details, access arrangements — and commercial information about NZR. You will use this information only for the job at hand, keep it secure, and not disclose it to anyone else.
You will comply with the Privacy Act 2020 in handling any personal information, and will return or destroy keys, codes and access information as we direct.
08Independent contractor
You are an independent contractor. Nothing in this letter creates an employment relationship, partnership, joint venture or agency between you and NZR. You are responsible for your own tax, ACC levies, insurance, equipment and staff.
09Approved contractor status
Approved Contractor status means you have signed this letter and your documentation is current. It entitles you to be considered for work across our portfolio and to describe yourself as an Approved Contractor for New Zealand Realty Services.
Approved status does not guarantee any volume of work. Work is allocated at our discretion based on trade, availability, performance, pricing and location. Status may be suspended if documentation lapses, and reinstated once it's current again.
10Termination
Either party may end this engagement at any time by written notice. Any work orders already accepted at that date should be completed unless we agree otherwise.
We may suspend or end approved status immediately for serious misconduct, safety breaches, dishonesty, or repeated failure to meet the standards in this letter. Ending the engagement doesn't affect obligations that naturally continue — including confidentiality, warranty of completed work and payment for work properly completed.
11Declaration
By signing, you confirm that: the information in your application is true and complete; you hold the qualifications, licences and insurance you've declared; you will notify us of any material change; and you agree to the terms of this Letter of Engagement.
This letter is signed electronically. Under the Contract and Commercial Law Act 2017, your electronic signature has the same effect as a handwritten one.

Contractor FAQs
How do I become approved?
Read the Letter of Engagement on this page, complete the application form and sign it electronically. Then reply to our confirmation email with copies of your documents attached. Once we've reviewed everything, we'll confirm your approved status and send your welcome pack.
How long does approval take?
We reply to every application within two working days. If your documents are complete, approval typically takes less than a week from application to welcome pack.
Will I receive ongoing work?
Approved status makes you eligible for work across our portfolio, but no volume of work is guaranteed. Allocation depends on trade, availability, location, pricing and performance — contractors who communicate well and do quality work naturally get called first.
Can sole traders apply?
Absolutely. Sole traders, partnerships and companies are all welcome. The same standards apply regardless of business size — we care about quality and professionalism, not headcount.
Do I need insurance?
Yes. Current public liability insurance is a firm requirement — we recommend at least $1M cover for residential trade work. You'll give us the expiry date in your application, and we'll get in touch before it lapses so your status never expires by accident.
How are invoices processed?
Send an itemised invoice referencing the property address and our work order once the job is complete and documented. Correctly submitted invoices are processed efficiently following approval of the work. If anything doesn't match the approved scope, we'll come back to you quickly with the reason.
Can I update my documents later?
Yes — and you should. Email updated certificates, licences or insurance to info@newzealandrealty.co.nz any time. Keeping documents current is what keeps your approved status active.
